Privacy policy
Last updated: October 29, 2026
This policy explains what personal information Lydon Solutions ("Lydon", "we", "us") collects through the JobsViz website at jobsviz.com (the "Site"), the JobsViz apps (the "Apps") and the JobsViz licence service, how we use it, and the choices you have. JobsViz is a product of Lydon Solutions, based in Los Angeles, California, USA.
1. The short version
- The Site sets no cookies and uses no analytics, advertising or tracking tools. It reads one small cookie from get.jobsviz.com that says only whether you've signed up.
- If you send us the contact form, we use what you send to reply to you.
- The Apps run inside your organisation's own Microsoft 365. Your project data stays there; we don't receive it.
- The licence service receives only what's needed to check a licence: a licence key, a Microsoft 365 tenant ID and the app version (and, for the optional Weather add-on, a map position and a date).
- We don't sell or rent personal information.
2. This website
Information you give us
When you use the contact form we collect your name, company, work email, phone number (if you give it), what you'd like to talk about and your message. The form is sent to us by email.
Signing up at get.jobsviz.com
When you sign up at get.jobsviz.com, our shop and support site, we collect your name, work email, company and, if you give them, your job title and phone number. If you sign in with Microsoft, we also receive your Microsoft 365 tenant ID and your name from Microsoft. We use this to set up trials and orders, to tie a licence to your organisation, and to contact you about JobsViz. Signing in sets a session cookie on get.jobsviz.com that lasts up to 8 hours.
Information collected automatically
The Site is hosted on Microsoft Azure. Like any web server, it receives technical information when you visit, such as your IP address, browser type and the pages requested, and Microsoft may keep this in its service logs for security and to keep the service running. We don't use this information to identify you or to build a profile of you.
Cookies
The Site doesn't set cookies and doesn't use analytics, advertising or social media tracking. It loads no fonts or scripts from other companies.
When you sign up at get.jobsviz.com, it sets a cookie named jv_who for jobsviz.com. It holds one word, "member" or "customer", and never your name or email. It lasts about 13 months, and it's how this Site's button knows to say Shop or Sign in instead of Sign up. Clearing your browser's cookies removes it.
3. The JobsViz apps
The Apps are installed by an organisation (our "customer") into its own Microsoft 365 tenant. They store information, including names and email addresses of the customer's staff and contacts, and the customer's clients, contracts, jobs, documents, dates and issues, in the customer's own Microsoft Dataverse environment and SharePoint sites.
- That information stays in the customer's Microsoft 365 and is governed by the customer's agreements with Microsoft and the customer's own policies. The customer controls it and decides who can see it.
- Lydon does not receive, store or have access to it through the Apps. The Apps act as the signed-in person, with that person's own permissions, using the delegated Microsoft Graph and Dataverse permissions the customer's administrator approves.
- If a customer asks us for support and chooses to share information with us (for example, a screenshot), we use it only to help them.
- Some features call outside services directly from the person's browser. Maps load map pictures from OpenFreeMap whenever a map is shown, which tells OpenFreeMap the area being viewed and the browser's IP address; this can't be switched off yet. An address someone types is sent to OpenStreetMap's Nominatim to find it; the customer can switch that off. The weather on daily reports sends a job's map position and a date to OpenWeather (with the customer's own key) or to our licence service for the Weather add-on. Those services' own privacy policies apply to what they receive.
If you're a member of a customer's staff and have questions about information held in the Apps, please contact your organisation's administrator.
4. The licence service
The Apps check the customer's licence with a service Lydon runs on Microsoft Azure:
| When | What the service receives |
|---|---|
| A licence is activated, and once a day after that | The licence key, the customer's Microsoft 365 tenant ID (an identifier for the organisation, not a person) and the app version. |
| The customer uses the Weather add-on and a daily report or job page asks for the weather | The licence key and tenant ID (to check the add-on), a map position and a date. We keep the weather answers by place, rounded to about a kilometre, and date, so they can be reused; not who asked. |
| An administrator asks for a trial, a renewal or a quote from Admin > Modules | The kind of request, the tenant ID, the organisation name, the name and email the administrator enters, the modules chosen and any message. |
We also keep the information needed to manage each customer's licence: the organisation's name, its contacts' names and email addresses, licence terms, renewal dates and our notes. We use it to issue and renew licences, send renewal reminders and answer requests.
5. How we use information
- To reply to messages and requests, and to arrange demos and trials.
- To provide, check and renew licences, and to send service messages such as renewal reminders.
- To support customers and improve JobsViz.
- To keep our services secure and to prevent abuse.
- To meet legal, tax and accounting obligations.
Where the law requires a legal basis (for example, in the UK and the European Economic Area), we rely on our legitimate interests in running and supporting our business, on performing our contract with a customer, on legal obligations, or on your consent where we ask for it. We'll only send you marketing emails if you've agreed to them or the law allows it, and you can opt out at any time.
6. Who we share it with
We don't sell or rent personal information. We share it only:
- With service providers that host and run our services for us, mainly Microsoft (Azure hosting, storage, key management and email delivery), under their data protection terms.
- With professional advisers, such as accountants and lawyers, where needed.
- If the law requires it, or to protect our rights, our customers or others.
- As part of a merger, acquisition or sale of all or part of our business, in which case this policy continues to apply to the information.
7. How long we keep it
- Contact form messages: up to 24 months after our last contact with you, unless you become a customer.
- Licence and customer records: for as long as the customer has a licence, and then for up to 7 years for accounting and legal purposes.
- Licence service logs: kept for a limited time (normally no more than 90 days) for security and troubleshooting.
8. Your rights and choices
Depending on where you live, you may have the right to ask us to tell you what personal information we hold about you, give you a copy, correct it, delete it, restrict or object to how we use it, or move it to another service. You can also withdraw any consent you've given. California residents have the right to know, delete and correct personal information and not to be discriminated against for using these rights; we don't sell or share personal information for cross-context behavioural advertising.
To use any of these rights, contact us (see below). We'll respond within the time the law allows and may need to confirm your identity first. If you're in the UK or the EEA, you can also complain to your local data protection authority.
For information held in a customer's own Microsoft 365 through the Apps, please contact that organisation, which controls it. We'll help them respond where we can.
9. Security
We use Microsoft Azure's security features to protect the information we hold, including encryption in transit and at rest, a managed key vault for signing licences, and access limited to the Lydon staff who need it, signing in with Microsoft Entra ID. No system is perfectly secure, but we work to protect your information and will tell affected people and authorities about a breach where the law requires it.
10. Where information is processed
Our services are hosted in Microsoft Azure data centres in the United States. If you contact us from outside the United States, your information will be processed there. Where the law requires it, we use appropriate safeguards for international transfers, such as standard contractual clauses.
11. Children
JobsViz is a business product and the Site is meant for businesses. We don't knowingly collect personal information from children under 16.
12. Changes to this policy
We may update this policy. We'll change the date at the top, and if the changes are significant we'll tell customers' administrators before they take effect.
13. Contact us
For privacy questions or requests, use our contact form (choose "Ask a question") or email jlydon@lydonsolutions.com.
